Part 1: Creating A New Email Contact Field
If you're facing the scenario where contacts share an email address and you want to be able to send communication to all parties associated with that email address, read below for the solution!
1. Navigate to Data > Contacts
2. Select Object Settings
3. From the Custom Objects Settings, navigate to Customize Fields > Add New Field under the Contact Info fields
4. Label the Field Name such as "Email for the Following Contact" and select Contact Info from the Category dropdown
5. From the Choose Field Type, select Relationship
6. From the Related Object dropdown menu, select Contacts
7. From the Relationship Type dropdown menu, select One-To-Many
8. Under the Field Options section, you'll now see two additional fields appear
8a. Label your Field Name, such as "Send emails To This Contact"
8b. From the Category to Create Related Field dropdown menu, select Additional Data
Now that the new field is created, you'll need to update your communication automations to take advantage of it. Read Part 2 below for a step-by-step guide.
Part 2: Updating The Communications Automations
Congratulations! You have the new field created and you're steps away from taking full advantage of it. Below are the steps you'll need to take to update the automations you're using for communication.
1. Navigate to Automations and identify the list of all the automations that you're using as part of your communications
2. To edit an Automation, click on the Automation Name
3. Add a Condition between the Trigger and the rest of your workflow
4. Select Condition Type > Custom Filters
5. Set the Condition Settings dropdown menus select
5a. Select Fields from the Choose Filter dropdown menu
5b. Select Email from the Choose Field dropdown menu
5c. Select Isn't Blank from the Choose Condition
5d. Click Save
Now that the Condition is added to your workflow you'll want to connect your existing workflow to the YES condition, meaning if the original email field is NOT blank, send the communications through the original workflow.
The last step is to add an action to your NO condition.
6. Connect an Action to the NO condition
7. Under the Choose Action, select Send Email to Related Contact(s)
(found under "Related Objects" section)
8. Under the Action Settings, select the field you created in Part I, step 8a
This field is labeled "Send emails To This Contact" in our example
9. Select the email template you desire to send
10. Click Save
You're now able to send communications to multiple contacts who share an email!
